Terms & Conditions

These terms & conditions form the contract between you (the lead guest) and us (Froomies Limited, trading as ...aaand relax). Please read them carefully before booking.

1 Definitions

App
The ...aaand relax mobile / web application that is available prior to and during your Booking.

Arrival Date
The first day of your stay (starting at 4pm that day).

Balance
The remaining amount (due on or before the Balance Due Date) payable in addition to the Booking Deposit, to make up the full Booking Price.

Balance Due Date
6 weeks before your Arrival Date.

Booking
Your confirmed reservation for the Property for holiday use only.

Booking Confirmation
The written confirmation we send to you by email once your Booking is accepted.

Booking Deposit
50% of the Booking Price payable at the time of reservation.

Booking Price
The total cost of your stay, including any additional charges that apply.

Departure Date
The final day of your stay (ending at 10am that day).

Events Outside Our Control
Circumstances beyond reasonable control (see section 16).

Facilities
The areas outside the Property that are available for use as part of your Booking (as described on the Website).

Group
Everyone staying in the Property under your booking.

Property
The cottage you have booked, as listed on our website.

Property Rules
Any rules relating to your use of the Property and Facilities, displayed on our Website, in the App or in the Property.

2 Making your Booking


  • By submitting a Booking reservation, you agree that you have read, understood and accepted these Terms and the Property Rules.

  • Your Booking is only confirmed once you have paid the Booking Deposit (or full amount where applicable) and we issue a Booking Confirmation.

  • If you book through an online travel agent, their terms apply in addition to ours. Where there is a conflict, the agent’s terms take priority.

The lead guest must be 21 or over, and at least one adult aged 21+ must stay throughout the booking.

3 Consumer rights & fairness statement

We aim to make all terms fair, transparent and balanced in line with the Consumer Rights Act 2015 (CRA 2015).

We will never rely on a term that is deemed unfair, unclear or which removes your legal rights as a consumer.

4 Changes to your Booking

If you would like to amend your booking, please contact us. We will always try to help, but cannot guarantee availability.

Changes may involve:

  • paying any difference in price

  • an amendment fee of £50

  • treating the request as a cancellation under section 14 if dates cannot be changed, or if less than 90 days notice of a change has been provided

We may update these Terms due to legal, regulatory or operational reasons. If changes affect your existing booking, we will notify you in writing.

5 Maximum group size & use of the Property


  • You must not exceed the maximum number of guests stated on our website.

  • Day visitors may be allowed with our prior agreement.

  • No additional beds, tents, caravans or campervans are permitted for sleeping.

  • Visitors must not use the Facilities, or stay overnight.

  • The Property is provided for and is to be used for holiday use only.

  • No tenancy or security of tenure arises, including you will not be entitled to the right to sub-let the Property in part or in whole, and assured shorthold or tenancy.

6 Arrival, departure & access

You agree not to arrive before the Arrival Date and to depart the Property no later than the Departure Date. Late departures may incur additional charges.

  • Check-in: from 4pm

  • Check-out: by 10am

We or our authorised representatives may access the Property at reasonable times for essential maintenance, safety or inspection. Emergency access may be needed at any time.

7 Care & damage

You must take good care of the Property throughout your stay.

We reserve the right to invoice you for damages incurred on the Property during your stay, caused by you. This covers damage, breakages or additional cleaning. You authorise us to invoice you for:

  • damage

  • lost keys

  • extra cleaning required in the event of soiling, spillages or damage

  • breach of Property Rules

You will be notified of any invoices.

8 Fire safety & compliance

We comply with the Fire Safety (England) Regulations 2022 and carry out:

  • a full fire risk assessment

  • installation of smoke and CO alarms

  • checks on escape routes

  • provision of safety information within the Property (contained within the App)

Guests must:

  • familiarise themselves with escape routes

  • not tamper with fire equipment

  • never use candles, fireworks, sky lanterns, fire pits, disposable BBQs or other naked flames

For the avoidance of doubt, any fuel provided is exclusively for use in the log burners installed in the Property.

9 Children & vulnerable guests

Children remain the responsibility of parents / guardians at all times.

Please note:

  • There are animals, uneven ground, woodland, ponds, machinery and natural hazards on the farm.

  • Children must be supervised at all times, and in particular near animals, water, vehicles and equipment.

  • We do not provide childcare or supervision.

10 Pets

Pets must be pre-booked in advance and approved by us.

By bringing a dog, you agree to:

  • fully comply with our separate Pet Policy

  • keep dogs on a lead at all times (except in the dedicated dog-walking field)

  • clean up promptly

  • ensure your dog does not approach livestock

  • accept full responsibility for any damage or injury caused by your dog

We may ask you to remove your dog from the site if behaviour is unsafe or disruptive.

11 Using the Property & Facilities

We will allow access to the Property for you and the Group for the period set out in the Booking Confirmation, subject to advance payment of the Booking Price.

Access to the Property is subject to adherence to these Terms and Property Rules.

You acknowledge that enjoyment of the Property and grounds is at your own risk.

You and your Group agree to:

  • follow these Terms, Property Rules and on-site signage

  • treat our neighbours, staff and animals respectfully

  • keep noise to a reasonable level (no outdoor music after 9pm)

  • not host parties or events

  • not fly drones

  • not move furniture or equipment without permission

  • only use the EV charger provided (no “granny chargers”)

  • not smoke in the Property or anywhere outside on the grounds

  • not vape in the Property

Internet is provided for recreational use only and the speed is not guaranteed.

All photographs and images on the Website and in marketing material are for guidance only and may change. We may not guarantee that the Property will match them exactly.

If you’d like a third party to provide services at the Property (e.g. a chef or therapist), you must get our written approval in advance if they are not one of our pre-approved and recommended service providers. Only approved providers with appropriate insurance may attend, and all must follow our Property Rules.

Upon your arrival, please notify us of any defects within the first 24 hours. Thereafter you will be deemed to have accepted the condition of the Property, and may be held responsible for any damage discovered at a later date.

Please respect the surrounding properties and area during your stay. You and the Group are not permitted to enter any areas of the site which are clearly fenced off. You must also comply with any applicable laws and rules throughout your Booking, including but not limited to The Countryside Code.

There is an electric vehicle charging point at the Property which is to be used for charging electric vehicles only. You are not permitted to use a portable domestic charger (also known as a “granny charger”) to charge your vehicle from a socket at the Property. Use of the electric vehicle charging point is subject to additional charges.

We reserve the right to request your immediate departure without refund where you have in our discretion acted unreasonably, illegally, immorally or in a manner which may impair the enjoyment, comfort or health of others or causes, or is likely to cause, damage to Property.

12 Reporting issues

Please report any issue within 24 hours of arrival so we can put it right. Issues reported after departure cannot be compensated.

13 Price & payment

The payment process is as follows:

  • The 50% Booking Deposit is due when reserving your Property.

  • The remaining 50% balance is due on the Balance Due Date (6 weeks before arrival). Our booking system will send a reminder.

  • Please make Balance payments on time. If the Balance payment is late, we may deem this as you having cancelled your booking, and we may make the Property available for others to book on your Booking dates.

  • We accept card payments only, via our booking system.

All prices shown on the Website include VAT where applicable.

14 Cancellation by you

We strongly recommend travel insurance.

You can cancel any time before 90 days prior to your arrival for a full refund. If you cancel less than 90 days in advance, sadly no refunds.

If you depart voluntarily from the Property before the Departure Date, no refund shall be given. Similarly, if you fail to show for your Booking this will be regarded as a cancellation and will not be refundable.

Illness (including COVID), transport issues, self-isolation, personal circumstances, jury duty, vehicle breakdown and travel delays are treated as cancellations.

15 Cancellation by us

We may need to cancel your booking in certain circumstances. While we will always aim to avoid disruption, we may cancel:

  • for Events Outside Our Control (full refund provided)

  • for non-payment (no refund provided)

  • for breach of Terms or Property Rules (cancellation with no refund provided)

  • business or operational decisions (we may cancel with 30 days notice and issue a full refund)

16 Events Outside Our Control

Includes but is not limited to:

  • severe weather

  • strikes or civil unrest

  • pandemics or epidemics

  • utility failures

  • local authority restrictions

  • environmental events

  • essential repair emergencies

  • another issue arises which in our reasonable opinion prevents us from hosting your stay

If a cancellation happens under term 16, you will receive a full refund of all monies paid, and our liability will be limited to that refund. We will notify you as soon as reasonably possible.

17 Our liability to you

Nothing in these terms limits liability where unlawful (e.g. personal injury caused by negligence).

We are not liable for:

  • any loss or damage not foreseeable

  • travel or alternative accommodation costs

  • business or commercial losses

  • loss or damage to any personal belongings or vehicles

Facilities may occasionally be unavailable for maintenance or safety reasons.

We only supply the Property for domestic and private use. You agree not to use the Property for any commercial, business or re-sale purpose and we are not liable for any loss of profit, loss of business, or business interruption.

18 Accessibility

Our cottages are traditional farm buildings and may not be suitable for all guests with mobility limitations. Please contact us before booking to discuss your needs.

19 Personal information

We use your data to:

  • manage your booking

  • process payments

  • verify identity (if required)

  • send information about your stay

  • send marketing communications if you have opted in

Your data is handled according to our Privacy Policy.

20 Complaints

If something isn’t right, please tell us immediately so we can fix it. For unresolved concerns, please write to us via email within 28 days of departure.

We will signpost you to an Alternative Dispute Resolution (ADR) provider upon request, though we are not obliged to participate.

21 Other important terms

We may transfer our rights and obligations under these Terms to another individual, but this will not affect your rights or our obligations under these Terms.

Except for you and us, no other person shall have any rights to enforce any of these Terms.

Each of the paragraphs of these Terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.

If we fail to insist that you perform any of your obligations under these Terms, or if we do not enforce our rights against you (or if we delay in doing so) that will not mean that we have waived our rights against you and will not mean that you do not have to comply with those obligations. If we do waive a default by you, we will only do so in writing, and that will not mean that we will automatically waive any later default by you.

Any references to “writing” within these Terms include email.

22 Governing law

These Terms are governed by English law, and any disputes will be handled by the English courts, unless you live in Scotland or Northern Ireland, in which case you may use your local courts.
